Syncing your data with QuickBooks
Learn how to choose what syncs to QuickBooks Online and how Probuild keeps your clients, estimates, invoices and payments up to date automatically. QuickBooks sync is a Pro plan feature.
Once you’ve connected your QuickBooks account, choose what syncs from your Sync Preferences. Sync is one way: your clients, estimates, invoices and payments are pushed to QuickBooks Online and kept up to date automatically as you make changes in Probuild.
- Tap on Settings from the main menu
- Tap on QuickBooks
- On the QuickBooks screen, tap Configure Settings (or Finish setup if you’ve just connected) to open your Sync Settings.
- Choose what gets synced to QuickBooks Online in terms of Clients, Estimates, Invoices and Payments, and from what time frame. When finished, tap Save. Probuild saves your preferences and starts syncing right away.
After saving, your data syncs automatically whenever you add or change it in Probuild. Each item shows its status — Syncing to QuickBooks, Synced, or a sync error you can Retry — and you can check Last synced on the QuickBooks screen. To change what syncs, reopen Configure Settings at any time.
A few things to keep in mind:
- Estimates and invoices always sync their client too, so you can’t turn off Clients while estimates or invoices are syncing.
- Payments can only sync when Invoices are syncing.
- Sync is one way (Probuild → QuickBooks). Changes made directly in QuickBooks aren’t pulled back into Probuild.
